Job Summary:
Oversee and manage daily administrative operations, ensuring smooth office functioning, managing staff, and while supporting key functions like HR, Executive Staff, budget management, and project coordination.
Office Management:
● Oversee and manage daily administrative and general affairs operations.
● Ensure office facilities and equipment are well-maintained and fully
functional.
● Handle procurement and inventory management of office supplies and
assets.
● Coordinate and supervise office security, cleanliness, and maintenance.
Staff Management:
● Supervise and train administrative and maintenance staff
● Delegate tasks and ensure efficient workflow.
● Provide guidance and support to team members.
Administrative Support:
● Manage agendas, travel plans, and appointments for senior management.
● Handle emails, letters, packages, phone calls, and other forms of
correspondence.
● Maintain and update databases and records for financial information,
personnel, and other data.
Policy and Procedures:
● Develop, implement, and monitor office systems, procedures, and
methods.
● Ensure compliance with company policies and procedures.
Project Management:
● Coordinate and support various projects within the organization.
● Monitor active projects and develop measurable performance indicators.
Budget Management:
● Manage budgets and track expenses.
HR Support:
● Assist with HR functions as needed.
Communication:
● Act as a liaison between different departments and stakeholders.
● Maintain a positive and productive working relationship with the
organization’s clients.
Other Duties:
● Prepare spreadsheets, presentations, and statistical and budget reports.
● Meet visitors and provide general support to them.
● Handle sensitive and confidential information with discretion
Job Requirements:
● Bachelor’s Degree in a relevant field like business administration,
management, or public administration
Relevant Experience:
Several years of experience in administrative roles, progressively taking on
more responsibility is crucial.
Industry-Specific Knowledge:
BPO Industry experience in a supervisory role a plus
